Quality Policy

It is the policy of the company to provide its customers with a service that fulfils their specified requirements. To assist this policy, we have prepared and implemented a Quality Management system to the requirements of the ISO 9001:2015 standard which also takes into account our organisational context. 

The following principles are applied throughout the company: 

1) Full commitment of all personnel to delivering a high quality of service. It is also our intention to monitor and improve customer satisfaction levels by collecting feedback from our customers. 

2) Full commitment of all personnel to active involvement in making improvements. 

3) Full commitment to meeting customer requirements as well as any applicable regulatory and statutory requirements. 

4) Full commitment to continually improving our quality management system. 

5) Full commitment to ongoing training and development of staff. 

6) Full understanding by all employees, of long-term importance of achieving customer satisfaction and their role in ensuring that their failure to meet standards will lead to the company failing to meet customer standards. 

7) Appraisal and checks to ensure our approved suppliers understand and meet our quality requirements. 

8) All staff are aware of and follow our quality management system, associated procedures and policies and understand the process of continual improvement of our Quality Management System 

The ISO system defines the commitments of the company that are employed to ensure Customer Satisfaction. Quality objectives are set annually at management review meetings when this policy is also reviewed and approved. 

This policy is available to all staff within the organisation and also made available to any interested parties upon request.

Environmental Profile & Sustainability

1.1) Introduction 

Increasingly these days, organisations are required to demonstrate their environmental policy. 

Safer Group (hereinafter known as the "Company") operates a Health & Safety Policy which is compliant with all applicable current Legislation. 

To compliment this, the Company takes into consideration the protection of the environment and is committed to the reduction of pollution. 

1.2) Environmental Management System 

Outlined below are brief details of the proposed management system and how we are implementing each section. 

1.2.1) Management System 

The Company shall prepare and implement any additional documented procedures to meet the requirements of BS EN ISO 14001 and the industry sector we work in. 

1.2.2.) Environmental Policy 

Safer Group is committed to working in accordance with ISO:14001 Environmental Management Systems. Our activities will be undertaken with consideration for the environment as part of the process to save energy, reduce consumption of non-renewable resources, prevent pollution, and minimize waste. 

The Company aims through staff awareness to create and maintain the highest levels of environmental responsibility throughout its operations. Please refer to the company Environmental Policy Statement for further information. 

While the Company’s environmental policy affects all aspects of its business, below are three particular applications of that policy: 

Transport 

• Maximum use of diesel engine vehicles wherever practical. 

• Maximum use of unleaded fuel for petrol engine vehicles. 

• Fuel conservation through regular maintenance of all vehicles. 

Energy 

Maximum energy conservation through adoption of: 

(a) Renting or purchase of premises which have been constructed utilising best practices in building design and construction. 

(b) Control over lighting, heating, and ventilation. 

Purchasing 

• Use of environment-friendly products wherever practical. 

• Make suppliers aware of the Company’s environmental concern. 

1.3) Organisation And Personnel 

The Company shall outline the extra resources, both physical and human, required to implement and verify the environmental policy. 

1.4) Environmental Impact 

1.4.1) The Company shall establish and maintain, as and when required, procedures and systems to comply with any legislative or regulatory requirement. 

1.4.2) The safe disposal of all waste products at approved disposal sites or via agents. 

1.4.3) The Company shall also maintain a documented system for examining and assessing direct or indirect environmental effects from its activities. 

1.5) Review 

It is envisaged that regular reviews of the systems will be implemented to ensure that current requirements are always catered for. 

1.6) Non-Compliance 

A nominated person shall be responsible for investigating non-compliance and ensuring remedial action is carried out. This process is controlled by the existing Company Procedure. 

1.7) Audits 

The Company shall carry out internal and external audits of this management system to ensure compliance to documented procedures. 

1.8) Environmental Policy Statement 

Safer Group is committed to working in accordance with ISO:14001 Environmental Management Systems. 

Our activities will be undertaken with consideration for the environment as part of the process to save energy, reduce consumption of non-renewable resources, prevent pollution, and minimize waste. 

In order to meet the above requirements, we will: 

• Monitor our use of energy, transport, and natural resources with a view to reducing our impact on the environment. 

• Support process modifications that reduce waste, re-use and encourage recycling. 

• Maintain sufficient documentation to demonstrate our known level of compliance with all our environmental requirements. 

• Work to promote positive environmental awareness, behaviours, and actions. 

• Comply with all applicable environmental legal requirements and recognise and comply with other relevant requirements which relate to our environmental aspects that may be placed upon us; 

• Assess, in advance where possible, environmental impact resulting from our business operations and the environmental effects of any significant development and adjust our plans accordingly; 

• Ensure that all incidents and non-compliance situations are reported, recorded and root causes identified where environmental harm occurs or could have occurred and ensure that appropriate corrective actions are implemented; 

• Demonstrate our commitment to continual improvement by using this policy as a framework for setting a programme of environmental targets and objectives for our activities and review the effectiveness of these using measurements on a regular basis; 

• Communicate and display this policy document and provide the necessary information, instruction, supervision, and training to enable all persons working on our behalf to fulfil their environmental duties. In turn, this policy document will be made readily available to all other interested parties and stakeholders. 

The Group Chief Executive has overall responsibility for setting this Environmental Policy and carrying out a review of our objectives to promote continual improvement of the Environmental Management System. 

The Group Chief Executive and Compliance Manager shall demonstrate a commitment to fulfilling it compliance obligations by ensuring this policy and the principles of ISO:14001 are implemented throughout the business. 

All Managers are responsible for ensuring that the staff they manage are aware of this policy and their responsibility for complying with it. They should ensure their staff are equipped to fulfil these responsibilities; this will include covering it and induction and identifying/meeting specific and generic training needs through personal development plans. 

2.0) Sustainability Policy 

2.1) Introduction 

The Company is committed to promoting sustainability. Concern for the environment and promoting a broader sustainability agenda are integral to the Company’s professional activities and the management of the organisation. We aim to follow and to promote good sustainability practice, to reduce the environmental impacts of all our activities and to help our clients and partners to do the same. 

2.2) Principals 

The Company Policy is based upon the following principles: 

• To comply with, and exceed where practicable, all applicable legislation, regulations, and codes of practice. 

• To integrate sustainability considerations into all our business decisions. 

• To ensure that all staff are fully aware of our Sustainability Policy and are committed to implementing and improving it. 

• To minimise the impact on sustainability of all office and transportation activities. 

• To make clients and suppliers aware of our Sustainability Policy and encourage them to adopt sound sustainable management practices. 

• To review, annually report, and aim to continually improve our sustainability performance. 

2.3) Practical Steps 

In order to put these principles into practice we will: 

2.3.1) Travel and Meetings 

• Walk and/or use public transport to attend meetings, site visits etc, apart from in exceptional circumstances where the alternatives are impractical and/or cost prohibitive. 

• Avoid physically travelling and/or to reduce the need to travel to meetings, where alternatives are available and practical such as using teleconferencing, video conferencing, or web cams. These options are also often more time efficient, while not sacrificing the benefits of regular contact with clients. 

• To have efficient timing of meetings to avoid multiple trips. 

• Reduce the need for our staff to travel by supporting alternative working arrangements, including home working etc, and promote the use of public transport. 

• Use an emissions recording scheme for business travel to monitor our impact. 

2.3.2) Purchase of Equipment and Consumption of Resources 

• Minimise our use of paper and other office consumables, for example by double-siding all paper used, and identifying opportunities to reduce waste. 

• As far as possible arrange for the reuse or recycling of office waste, including paper, computer supplies and redundant equipment. 

• Reduce the energy consumption of office equipment by purchasing energy efficient equipment and good housekeeping. 

• Purchase electricity from a supplier committed to renewable energy. Seek to maximise the proportion from renewable energy sources, whilst also supporting investment in new renewable energy schemes. 

• Ensure that timber furniture, and any other timber products, are recycled or from well- managed, sustainable sources and are Forest Stewardship Council (FSC) certified. 

• Purchase fair-trade and/or organic beverages. 

• Encourage our suppliers to provide equipment that minimises the use of power and which can be re-cycled. 

2.3.3) Working Practices and Advice to Clients 

• Undertake work with the local community and/or environmental organisations to seek to offset carbon emissions from our activities. 

• Ensure that any associates that we employ take account of sustainability issues in their advice to clients. 

This above policy will be periodically reviewed and, where necessary, be subject to amendment. 

Corporate Social Responsibility

Policy Statement: 

Safer Group (hereinafter known as “the Company”) as part of its ambitious vision of a corporate socially aware modern security & fire industries have implemented far reaching initiatives designed to minimise the impact of its trading activities on society, economy, and the environment. 

The company believe that doing business in a responsible, sustainable way goes hand in hand with doing business successfully. 

We recognise that we must integrate our business values and operations to meet the expectations of our stakeholders. Stakeholders include customers, employees, regulators, investors, suppliers, the community, other third parties and the environment. 

We recognise that our social, economic, health & safety and environmental responsibilities to these stakeholders are integral to our business. We aim to demonstrate these responsibilities through our actions and within our corporate policies inclusive of not causing any risk/hazard to these stakeholders. 

Our approach to what has become an essential part of our operating culture is what sets us apart from our competitors. Social awareness is more than just words, it is how we operate, from employee welfare to community support. 

The following sections provide a brief synopsis of how we are working towards a safer, cleaner, and more sustainable environment. 

Environment: 

The company has a responsibility to manage both the direct and indirect environmental impacts arising from its operations. Environmentally sustainable operating systems are implemented wherever possible to manage our direct impact on our base environment and that of the wider community. 

The introduction of our ‘AWARE’ strategy has empowered all stakeholders within the company to adopt an approach to business that openly seeks to source, adopt and promote environmentally aware products and services, from recycled stationary to community-based printers and service providers, thereby reducing our Carbon footprint. 

Other initiatives adopted to reduce our impact on our environment include the following; 

· Recycling of paper, card, and plastics 

· Introduction of the ‘Paper free Drive,’ a movement towards a paper-free working environment 

· Promotion of the use of public transport 

· The adoption of low-emission (CO2) company vehicles 

Health and Safety: 

The health, safety, and welfare of all employees of the company is of paramount importance, that’s why we regularly review working practices and introduce improvements to make the working environment as safe and secure as possible. 

The above initiatives go hand in hand with a conscious operating culture tailored to the individual requirements of personnel working in the field, from someone to talk to at all times, to a set of policies and procedures designed to ensure that company employees remain protected, nurtured and developed throughout their career with the company.

Introduction

As part of our commitment, we uphold the standards set out in the Modern Slavery Act 2015 by implementing systems and controls to ensure that modern slavery is not taking place anywhere within our business and or supply chains. Embedding the Principles 

We will continue to embed the principles through: • Providing awareness training via IHASCO, to staff on the Modern Slavery Act 2015 and informing them of the appropriate action to take if they suspect a case of slavery or human trafficking 

• Ensuring staff involved in all procurement activity are aware of and follow modern slavery procurement guidance on GOV.UK 

• Ensuring that consideration of the modern slavery risks and prevention are added to Safer’s policy review process as an employer and supplier of goods and services 

• Ensuring Safer’s procurement strategies and contract terms and conditions include references to modern slavery and human trafficking 

• Continuing to take action to embed a zero-tolerance policy toward modern slavery and Human Rights 

• Ensuring that staff involved in buying or procurement and the recruitment and deployment of workers receive training on modern slavery and ethical employment practices 

• All Employees, officers and representatives of the Company are expected to act honestly and within the law. 

Human Rights and Slavery 

• The Company is vehemently opposed to the use of Slavery in all forms; cruel, inhuman, or degrading punishments; and any attempt to control or reduce freedom of thought, conscience, and religion. 

• The Company has a zero-tolerance approach to slavery and is committed to preventing acts of slavery and human trafficking from occurring within both its business and supply chain, and imposes those same high standards on its contractors, suppliers, and other business partners. 

• The Company will ensure that all of its employees are entitled to their human rights as set out in the Universal Declaration of Human Rights and the Human Rights Act 1998. 

• The Company will not enter into any business arrangement with any person, company or organization which fails to uphold the human rights of its workers or who, breach the human rights of those affected by the organisation's activities. 

Workers' Rights 

• The Company is committed to complying with all relevant legislation and regulations. The Company regards such regulations and legislation as the minimum rather than the recommended standard. 

• No worker should be discriminated against on the basis of age, gender, race, sexual orientation, religion or beliefs, gender reassignment, marital status, or pregnancy. All workers should be treated equally. Workers with the same experience and qualifications should receive equal pay for equal work. 

• No worker should be prevented from joining or forming a staff association or trade union, nor should any worker suffer any detriment as a result of joining, or failing to join, any such organisation. 

• Workers should be aware of the terms and conditions of their employment or engagement from the outset. In particular workers must be made aware of the wage that they receive, when and how it is to be paid, the hours that they must work, and any legal limit which exists for their protection and any overtime provisions. Workers should also be allowed such annual leave, sick leave, maternity/paternity leave and such other leave granted by legislation as a minimum. 

• The company does not accept any corporal punishment, harassment or bullying in any form. 

Escalation 

If you suspect Modern Slavery, report it to the Group Chief Executive of Safer Group or your Line Manager. Reports of Modern Slavery or Suspicion will be discussed to the Modern Slavery Helpline on 08000 121 700 or the Police on 101. 

Remediation of Human Rights Violations 

We are committed to taking prompt and effective action when human right violations are identified within our operations or supply chains, including those related to modern slavery. We recognise our responsibility to provide or cooperate in remediation where we have caused or contributed to adverse human rights impacts. To uphold this commitment, the following remediation actions will be taken: 

Immediate Cessation of Harmful Practices: 

Activities contributing to human rights violations will be suspended or terminated without delay. This includes disengaging from suppliers or contractors found to be in breach of our human rights standards. 

Investigation and Fact-finding: 

All reported concerns will be investigated thoroughly and impartially. Investigations may involve affected stakeholders, third-party experts, and relevant authorities where appropriate. 

Engagement with Affected Stakeholders: 

We will consult directly with individuals or communities impacted by the violation to understand the harm caused and to co-design appropriate remedies. 

Compensation and Restitution: 

Where harm has occurred, we will provide fair and proportionate remedies, which may include financial compensation, access to services, or other forms of restitution. 

Corrective Action Plans: 

Suppliers or internal teams involved in violations will be required to implement corrective measures with clear timelines and accountability. Follow-up reviews will ensure compliance and effectiveness. 

Policy and Process Reforms: 

We will review and revise internal policies, training programs, and operational controls to prevent recurrence of similar violations. 

Public Disclosure and Accountability: 

Where appropriate, we will disclose the nature of the violation and the actions taken to address it, demonstrating transparency and accountability. 

Monitoring and Follow-Up: 

We will monitor the implementation of remediation actions and re-engage with affected stakeholders to ensure that the resolution is satisfactory and sustainable. 

Legal and Regulatory Compliance: 

We will report violations to relevant authorities when required and cooperate fully with any legal or regulatory investigations.

We aim to lead by example by following good sustainability practices, reducing the direct environmental impacts of all our activities, advancing our positive contributions to the plant and our society, and helping our clients do the same. As our industry moves towards net zero, we will support it within our own day-to-day management and operations. We want to support the direct transition to a low-carbon economy.

• Encouraging staff to take public transport to and from work 

Energy

• Occupancy Sensor lights in bathrooms 

Purchasing 

• Use of environment-friendly/bio-degradable products wherever practical.

Principles and Practice 

In order to fulfil our mission, this Sustainability Policy is based on the following principles: 

• To make data-led decisions to reduce our operational footprint whenever possible and set science-based targets that we are committed to reaching. 

• To minimise the impact on the planet of all day-to-day activities including responses, wider travel, purchasing, working practices, and disposal. 

• To integrate sustainability considerations into all our business decisions. 

• To help our employees to engage with and implement our sustainability initiatives. 

• To engage with clients and suppliers to help them to adopt their own sustainability practices. 

• To review, annually report on, and continually strive to improve our sustainability performance. 

• To conduct our sustainability efforts with complete transparency. 

Practice 

To put our principles into practice we will do the following: 

• To formalise Sustainable Thinking into quarterly meetings. 

• Use a third-party company to annually audit and report our carbon footprint and review our performance against predefined metrics. 

• To offset unavoidable emissions and operate as a carbon-neutral company. 

• Our actions will support our net-zero goals directly by implementing the following steps: 

For all of our operations we will continue to target emission hotspots to reduce emission intensive components of our business as quickly as possible. For our employees, we will: 

• Support and educate employees to ensure they have the skills and knowledge to reduce their personal impact inside and outside of the workplace. 

• This will include helping them to reduce their commute and working from home impact. For our travel policy, we will: 

• If viable, use video-conferencing as an alternative to face-to-face meetings. 

• Prioritise train travel for long-distance travel, and if European travel is required, we will consider whether train travel is a viable option. In our office we will: 

• Minimise our use of paper and other office consumables. 

• As far as possible arrange for the reuse or recycling of office waste, including paper, and e-waste (computer supplies and redundant equipment). 

• Reduce the energy consumption of office equipment by purchasing energy-efficient equipment. Through our supply chain we will: 

• Challenge and encourage companies, clients, and partners we work with to join us in committing to an environmentally responsible future. 

• Use an Environmentally Preferred Procurement strategy for purchasing decisions. In our facilities we will: 

• Seek to procure 100% low-carbon power for our facilities. 

• Aim for zero emissions from direct combustion of fuels.

Key Carbon Performance Indicators (KCPIs) 

Each year, we track our performance through KCPIs, which contribute to an overall emission reduction target. During initial growth, the min KCPI will be our tCO2e/employee value. We will strive to keep this as close to current limits as possible.

This policy shall be reviewed on a regular basis to identify the need for change arising from changes to legal requirements, standards or as a result of the review of process

At Safer Group, we take the security of our systems, products, and customers seriously.

Reporting a Security Issue 

If you believe you have discovered a security vulnerability in any Safer Group product or service (including the Safer POD range), please contact our team directly at compliance@safer-group.com. When submitting a report, please include: 

A detailed description of the issue 

Steps to reproduce it (if possible) 

Any supporting evidence (screenshots, logs, etc.) 

Your contact details for follow-up communication 

Our Commitment to You 

Once a report is received, we will: 

Acknowledge receipt of your report within 5 working days. 

Review and assess the issue within 10 working days. 

Provide regular updates as the investigation progresses. 

Work to resolve and verify fixes as quickly as possible. 

Credit responsible researchers publicly if they wish to be acknowledged. 

Responsible Disclosure Guidelines 

To protect our users and systems: 

Do not publicly disclose the vulnerability until it has been resolved. 

Do not exploit the issue, access customer data, or disrupt our services. 

Follow responsible reporting principles as outlined by the 

IoT Security Foundation (IoTSF) Vulnerability Disclosure Guidelines.

Report a Concern

We take your feedback seriously. 

If you have experienced or witnessed any issue that you believe needs attention, such as misconduct, policy violations, or unethical behaviour, please contact compliance@safer-group.com directly to share your concern. We will review and respond to all direct contact in a timely manner. All reports will be handled confidentially and reviewed promptly. The input you share helps us maintain a safe, respectful, and transparent environment for all.

Type of Concern - Discrimination, Labour Rights, Environmental Impact, Community Impact, or Other 

Description of Concern 

Date of Incident - Please provide an approximate date, to the best of your knowledge. 

Location of Incident - Please provide the location in which the incident took place. This may be the site/project name, town, or city. 

Understand that you are protected from retaliation after submitting this concern.
